Structure And Cadence
Cadence
The Learning Collaborative convenes each quarter of the contract term, aligned to the Deliverable 5 reporting schedule so that each convening feeds a Quarterly Summary due to the Commission. Each session is timed to follow a screening window or platform milestone so that live data is available for study. Between convenings, LEA teams continue to receive individualized coaching and technical assistance under Deliverable 3, and monthly partner office hours carry forward the action items from each session.
Session Format
Each convening is a 90-minute working session, with flexibility to adjust as the project progresses. Each session is organized as a full-group portion, focused breakouts, and a closing full-group segment.
| Segment | What Happens |
|---|---|
| Full Group | Opens with a brief return to the commitments made at the prior session, then moves into a deep dive on the quarter's theme. |
| Breakouts | Where the deeper, role-specific work happens. Groupings shift by session: by role in some quarters, and by region or LEA in others, depending on the objective. |
| Closing | Synthesizes what the group learned, names commitments for the coming quarter, and previews the next session. |
Facilitation And Planning
Each session is planned with project partners, using the Discussion Outline Template to set the objective, confirm what data will be live, select breakout groupings, and assign partner content.
Documentation
DBG records attendance, agenda, key learnings, barriers, solutions and action items at each session and synthesizes them into the Quarterly Summary within the Deliverable 5 timeline. Summaries are shared back to participating LEAs as well as to the Commission. Feedback gathered in session is routed to the responsible partner with a named owner and reported back at the following convening.
The Arc
The sequence across convenings is deliberately front-loaded on orientation and shifts steadily into data and implementation.
- Convening 1 is foundation setting, held while the fall screening window is still open and the Educator Portal is still in build. It grounds all partners and LEAs in a shared understanding of the Dashboard, the Portal and the pilot parameters, and introduces an Ecosystem of Care approach to student wellness.
- Convenings 2 and 3 are the Initial Implementation sessions. With the fall cycle complete and the Portal live at sites, Convening 2 builds LEA capacity to read and act on their own data and refine their goals. Convening 3, the first session to open with live public Dashboard data, turns outward to the system of care, mapping behavioral health and community wellness resources and using community-based organization (CBO) partnerships, the CYBHI fee schedule and other identified funding to fill gaps.
- Convening 4, the Year 1 closing session, reflects on a full year of longitudinal data and identifies model refinements.
- Year 2 sessions move from dashboard literacy to advanced, equity-focused data use, drawing on subgroup disaggregation and early findings, and finally to turning two years of implementation experience into concrete recommendations for statewide scale that inform the Training Guide and Final Report.
Each Convening Is Crafted To
- Deepen LEAs' use of the screener, helping them use voice-based responses as data and analytics.
- Provide behavioral health resources, in order to better understand the behavioral health landscape and strengthen each LEA's program of student support.
- Strengthen MTSS and data response systems in each LEA through stakeholder engagement at every level.
- Provide a learning community where pilot participants can reflect on their experience in order to improve outcomes for students across California.
Each session is timed to follow a screening window or platform milestone, so live data is always on the table, and each one feeds a Quarterly Summary due to the Commission.
